A bit about you, our new Unconventional Office Manager: Are you a talented administrator who loves to work in a fast paced environment? You will be responsible for the day-to-day office administration and office services including scheduling appointments, building liaison, vendor relationship, corporate events and/or trade show events planning (if any), travel arrangements, ordering stationery and other supplies (including ordering food for events, company lunches and stocking up our kitchen food supplies). Your key responsibilities will include, but are not limited to:

  • Scheduling appointments for key personnel, arranging travel and travel accommodations on required business trips in an economical and timely fashion, including hotel bookings, car rentals, and so on.
  • Manage and oversee office and facilities management across the organization.
  • Coordinate departmental programs, such as managing appointments/meetings, seminars, workshops, special projects, and events.
  • Arrange and administer inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
  • Answer and manage inbound telephone inquiries.
  • Responsible for general clerical duties, photocopying, scanning, filing and sending faxes.
  • Ensure adequate supplies of office stationery, general office and kitchen supplies, office furniture, and other equipment.
  • Coordinate office seating arrangements for business units and assign desks, phones, and other assets as necessary.
  • Assist in the management of building security, such as the assignment of keys and alarm codes for approved personnel.
  • Coordinate and implement company-wide social events.
  • Provide support to the sales and/or marketing teams by arranging logistics for trade shows and other events

Experience and Skills Required:

  • Self-starter and reliable
  • Must have a fun, positive attitude and a great sense of humor!
  • 3 or more years experience in office management and or administration
  • Strong computer skills including Google docs, Microsoft Office (but not limited to). Must be able to learn new software programs quickly.
  • Effective organizational skills and attention to detail.
  • Tact, foresight, integrity and professionalism in keeping with executive-level support and confidential information.
  • The ability to work proactively with excellent time management skills
  • Excellent problem solving, prioritizing and multi tasking skills.
  • Excellent communication skills both written and verbally.
  • Customer Service experience is an asset.
  • Experience in the software industry is an asset.
